Reservation
To confirm your booking, a deposit of 10% of the trip cost per person is required. Final payment is due no later than 30 days before departure, unless otherwise specified.
Children Policy
Children sharing a room with two adults:
• Infant (<02 years old): FOC except domestic ticket cost
• 02 – 11 years old: 85% adult rate
• Child 12 years old and above: full adult rate
Cancellation Policy
We regret any decision to cancel your trip and understand unforeseen circumstances may arise. While we will refund payments made to Responsible Asia, a cancellation fee will be applied as follows:
• 31 days or more before departure: 10% of full payment + applicable airfare cancellation fees (if any)
• 15-30 days before departure: 45% of full payment + applicable airfare cancellation fees (if any)
• 14 – 8 days before departure: 70% of full payment
• Less than 7 days before departure: 100% full payment
• No-show travelers: 100% of full payment
Once the trip has started, no refunds will be provided for unused services due to early departure, late arrival, or missed tour days.
Change of Travel Dates
If you’re unable to travel on your booked dates, you can change your travel dates (once) free of charge, provided the changes are made more than 30 days before departure.
Itinerary Alterations
Changes requested before booking are complimentary. Post-confirmation alterations will incur a $10 USD fee per request, plus any additional service costs (if applicable). Responsible Asia reserves the right to modify the tour itinerary due to circumstances beyond its control, with any cost adjustments calculated and charged accordingly. Client-initiated changes will require advance payment for any extra costs.
Travel Documents
Clients must possess valid passports, visas, and permits at the start of travel, with documentation being the sole responsibility of the client. Your travel advisor can assist with applications, but Responsible Asia accepts no liability for failure to obtain required documents.
Health Requirements
Clients are responsible for understanding health requirements and safety conditions in their intended destinations, including vaccinations and government guidelines. Your travel advisor can assist with information.
Insurance Requirement
Clients must hold personal medical insurance for our trips, and refusal may result in trip cancellation.
Complaints and Claims
Notify your local guide or travel advisor immediately for any dissatisfaction with our services to address issues promptly. Formal complaints or claims for compensation must be submitted in writing via email, regular mail, or fax within 15 days of tour completion, accompanied by relevant evidence.
Responsibility
Responsible Asia is not liable for losses, injuries, or damages resulting from uncontrollable events like weather, government actions, wars, epidemics, etc. We are not liable for suppliers’ negligence, equipment failure, or clients’ non-compliance with customs regulations. We reserve the right to substitute accommodations, flights, or alter itineraries. In case of tour cancellation initiated by us, a full refund is provided.
Activities Risk
Some tour activities involve risks like boat trips, climbing, etc. Clients undertake these activities at their own risk, with our assistance and advice. We are not liable for actions or events after necessary precautions have been taken.
Agreement
Please signify your acceptance of these terms by signing and returning a copy of this contract and attached itineraries to Responsible Asia. We reserve the right to modify or rescind these terms with or without notice.
